Because Vertical Apps doesn't sell software (we are an Application Service Provider), you won't be left on your own. We will provide initial training and assistance to make the transition from your existing system to Attendance://Master as simple as possible. We understand that most business dont have the spare resources for this transition*, so we work with your staff to make the process run smooth and painlessly. On top of this we also provide continuing support as part of your monthly ongoing commitment.

Centralised Customer Database Back to top

Attendance://Master was designed from the ground up to manage customer information, such as contact details including up to 3 email address per client, as well as Level or Program details and session attendance. Experience has shown us that many businesses have this information located in spreadsheets, Outlook and other places, which makes it hard to co-ordinate and centralise your lists. Another benefit is that you can be assured that all you data is secured and backed up on a daily basis, ensuring none of your information can be lost.


  
  Pass Management of Customers Back to top

One of the challenges of all group training businesses such as Yoga Studios and Triathlon squads, is the recording and management of Passes. These can vary from a casual pass for one session, to a 10 Pass that has a validity date, to unlimited monthly or yearly passes.  A monthly pass may start at the beginning of the month or may start from the first session, it's up to you and how you run your business. Attendance://Master can look after all of these scenarios with almost unlimited configurations.

 

Tracking Outstanding Customers Back to top

The reality of running any business is that you need to be on top of what you customers owe, and what they have paid. Attendance://Master simplifies this as it is designed specifically to account for what passes a customer is on, what sessions they have attended and what payments you have received.  The system allows you to see who owes money and what the outstanding amount is for particular sessions. You can then simply email them a reminder with all the details on how they can pay.


  
 

Session Creation and Management Back to top

Attendance://Master allows you to create what sessions/courses you offer, and what passes comply with them. We have made this process as simple as possible, making it a quick process to setup and manage. Understanding that many businesses have differences in the way they charge, you can decide what sessions apply to any particular pass, as Attendance://Master has been developed to handle many variations.


 

Automatic Email for Number of Sessions left and Pass Expiry Back to top

Communicating with your customers to let them know how they are progressing in their pass helps all parties understand their obligations. Attendance://Master is designed to email out a friendly reminder when they have got a certain number of sessions left, or that their pass is about to expire. These can be determined on a pass by pass basis.


 

Website Calendar Publication Back to top
As part of the system, you have the option of publishing a calendar with a list of sessions that are available. This will help customers clearly see what you offer and can be searched to find sessions of interest. We believe this also helps to further protect the professional nature of your business.


 

Mobile Phone Interface** Back to top

For businesses that do not operate their sessions in an environment that allows them to use a Notebook/PC with Broadband connection, we provide a unique mobile phone* interface to make the recording of attendance fast, simple and accurate. You can also add customers and record payments via the phone. This functionality eliminates the need for additional administration after each session.
*Currently only Nokia Phones with 'Series 60, 3rd edition' are supported.


Import Bank Statements Back to top
Attendance://Master has the ability to import bank statements from your Online Banking (Using a QIF export). With this option, each customer is issued with an automaticaly generated unique code that they enter when making a bank transfer. This speeds up the reconciliation of payments.


 
Automatic Pro Rata of Pass Back to top

Monthly passes will usually start at the beginning of the month, however, sometimes a customer may wish to purchase a monthly unlimited pass half way through the month. Attendance://Master provides a simple solution where by passes are Pro Rata automatically. You nominate what passes can be pro rata, what the date range is, and the system will pro rata the minimum they will be charged. Below is an example of 10 days from the beginning of the month with a 10 day minimum charge.
On top of the pro rata amount for the current month, the system will add the amount to the next month. The result in the following examples;

Example 1

The customer purchases a monthly $150 on the 12th  March. The system calculates a daily rate and multiplies it by the number of days left.
Then it adds another $150 for the next month.
 
($150 / 31) * (31-22) + 150 = $241.93

The pass will be valid from 12 March to 30 April

Example 2

The customer purchases a monthly $150 on the 22nd  March. Because they are purchasing the pass within 10 days of the end of the month, the system will work it out from the minimum (10 days).
Then it adds another $150 for the next month.
 
(150 / 31) * (10) + 150 = $198.38

The pass will be valid from 22 March to 30 April
 

 

Reporting Back to top

One of the challenges faced by many small businesses is having an automated reporting system in place. Manual reporting systems are laborious, particularly when trying to trend the history of the business. Currently, Attendance://Master provides the following reports:

  • Session/Course Attendance rate
    This gives a break down of the number of customers that have attended particular sessions. Here you can see how sessions are trending and what is or is not working.
  • Pass Report
    This gives a break down of how many customers are on each pass you offer, as well as the total revenue.
  • Payments Report
    This shows the number of payments and the total revenue received for any given date range.
  • New Customer Report
    Total of new customers gained for monthly.
  • Retention Report
    This report tells you in percentage terms what your customer retention rate is.
